Where to find the upload
The customer upload can be found on the customer page itself in the upper right hand corner:
How the customer upload is structured
The customer upload is really comprised of three main parts: the main customer fields, an address and a note.
For both notes and addresses you can have multiple values on one customer. For example Sally Smith can have her work address and her home address on her customer profile. Or there might be a note from when she first signed up and then another note that was added after her first club shipment. Fir the address fields you should populate a full address or leave it blank. For example maybe you only have the state that the person resides in. In this case do not just populate the State field and leave all others blank as this could cause issues with blank addresses on orders.
The main customer fields are things like their name, date of birth or email address. You can't have two date of birth values on a customer. It is important to take note of these levels of customer information when thinking about your upload. In the Column Definitions below the "Related To" will indicate if it is part of the "Main" customer fields or "Addresses" or "Notes".
The format of the customer upload is also one of the download types. So if you want to make changes to your customers you can download all your customers using the "Upload Format", make modifications and then upload. One thing to note however is that you cannot make changes to addresses or notes using this upload. If you try to upload to an existing customer with a new address or note then it will create a new note or new address for that customer but not modify the existing data.
Customers are matched based upon their email address in this upload. So if the system finds a customer with the same email address already in VineSpring when you upload it will overwrite the fields (this is true for all fields except address and notes).
An asterisk (*) indicates that a field is required. For this upload only the email address is required.
Related To/ Type
This is the email address of the customer. Make sure that there are no spaces after the email address or before as that can lead to an error when uploading. Also make sure this field has only the primary email address in it.
This is the full name of the customer. If your current data has the name broken down by first and last name then you can use the CONCATENATE() function in Excel to combine them.
The phone number should be uploaded how you want it displayed in VineSpring. If you upload only numbers then that is all that will be shown. You may want to consider formatting your phone numbers to look something like this: (555) 555-5555
This is the name of the company that the customer belongs to. You do not need to use this field if this is a customer who has a work and home address. It is really more for Industry partners.
How did you get this customer? Maybe it was from your website or was a referral from someone else. That is the value that would be uploaded here.
Date of Birth
This must be a full date, not just a month and year. It should be in the format MM/DD/YYYY
This is the date the customer was first added to your mailing list or was their first purchase. It should be in the format MM/DD/YYYY
You can assign one alternate email address to each client
Is Tax Exempt
TRUE/FALSE Should all purchases for this customer be tax exempt?
This is the name you want associated with the address. This can be the exact same as the Full Name field above.
This is the name of the business associated with the address only. So this would be populated if you were uploading a work address for a customer and needed to include a business name on the address.
If you are using a third party Customer Relationship Management piece of software you can populate the next two fields to link a customer in VineSpring to your CRM.
There are 10 custom fields that you can use for additional data you would like to store about a customer. This might be information like a Spouse Name or Date of First Email.
This note field should not contain return fields and should have double quotes around the values. For example, "Bob stopped by with his wife today, they bought two bottles."
